1. Who we are

The website vietnamtourexpert.com is operated by Asia Travel Expert Co., Ltd., which decides how and why your personal data is processed (the data controller).

2. What we collect

Please share sensitive data, such as health information, only where it is needed for your safety on the tour; by telling us, you agree that we may pass it to the relevant guide or supplier.

3. How we use your data

• To reply to your enquiry and prepare itineraries and quotations.
• To book and confirm hotels, cruises, guides, transport, flights and other services, and to issue vouchers and invoices.
• To take payments, process refunds and keep accounting records.
• To look after you during your trip and contact you if plans change.
• To publish reviews you submit and to answer complaints.
• To keep the website secure, prevent spam and understand how the website is used so we can improve it.
• To send you occasional news or offers only if you have agreed; you can unsubscribe at any time.

4. Legal basis

We process personal data on the bases allowed by Vietnamese law: your consent (for example when you send an enquiry or review); the need to perform a contract with you (your booking); compliance with legal obligations (for example accounting, tax and guest registration rules); and, in emergencies, to protect your life or health. You can withdraw consent at any time; this does not affect processing already carried out or data we must keep by law.

5. Who we share it with

We share only the data each party needs:

• Travel suppliers: hotels, cruise operators, tour guides, drivers and transport companies, airlines and attraction operators that deliver your services.
• Payment providers: the 9Pay payment gateway, our bank and Western Union, to process your payments and refunds.
• IT providers: our website hosting and email providers and the services listed under Cookies.
• Authorities: government bodies when the law requires it, for example guest registration with local police by hotels and cruises.

We never sell your personal data or share it with third parties for their own marketing.

6. International transfers

Most of your data is processed in Vietnam. Some service providers we use, such as Google and email or messaging services like WhatsApp, may store data on servers outside Vietnam. Where personal data is transferred abroad, we do so in line with Vietnamese law and use providers with recognised security standards.

7. How long we keep it

• Enquiries that do not lead to a booking are kept only as long as needed to answer you and follow up, then deleted.
• Booking, invoice and payment records are kept for as long as Vietnamese accounting and tax law requires.
• Published reviews remain online until you ask us to remove them.
• When data is no longer needed, we delete or anonymise it.

8. Security

Our website uses HTTPS (SSL/TLS) encryption, and forms are protected against spam. Access to personal data is limited to staff who need it to handle your booking, such as your travel consultant and our accounts team. No method of sending data over the Internet is completely secure, but we take reasonable technical and organisational measures to protect your data from loss, misuse and unauthorised access, and we will inform you and the authorities of a serious breach as required by law.

9. Your rights

You have the right to:

• be informed about how your data is processed;
• access a copy of the personal data we hold about you;
• correct inaccurate or incomplete data;
• ask us to delete your data, or to restrict its processing;
• object to processing, including for marketing;
• withdraw your consent at any time;
• complain to the competent Vietnamese data protection authority.

To make a request, email sales@vietnamtourexpert.com with the subject “Personal data request”. We may ask you to confirm your identity, and we will reply within the time limits set by Vietnamese law. Some data must be kept for legal reasons even if you ask for deletion; we will tell you if this applies.

10. Cookies & third-party services

Cookies are small text files stored in your browser. We do not use a Facebook pixel or sell data to advertisers. The services currently used on this website are:

You can block or delete cookies in your browser settings; the website will still work, though some features may not. You can control personalised Google advertising in your Google account’s ad settings.

11. Children

Our services are booked by adults. We collect children’s data (such as names, ages and passport details) only from their parent or guardian, and only to book the family’s services. We do not knowingly collect data directly from children under 16; if you believe a child has sent us data, contact us and we will delete it.

12. Vietnam data protection law

We process personal data in accordance with Vietnam’s Law on Personal Data Protection No. 91/2025/QH15 and its implementing Decree No. 356/2025/ND-CP, both in force since 1 January 2026. They replaced Decree No. 13/2023/ND-CP on personal data protection, which applied before that date.

13. Links to other websites

Our website contains links to other websites, such as Google Maps and Tripadvisor. These are provided for information only; we are not responsible for their content or privacy practices, so please read their own policies.

14. Changes to this policy

We may update this Privacy Policy when our services or the law change. The date below shows when it was last revised.
